Terms and Conditions

Please note all Terms and Conditions below MUST be adhered to when attending any Pole-& Aerial Fit class, course, workshops, event or party.


Participants must complete a Physical Activity Readiness Questionnaire and a class Informed consent form prior to participation. Any health related concerns must be reported to the instructor before attending (on failing to do so you can be ask to leave).

Participants are required to warm up, due to health and safety, anyone arriving after the warm up will not be able t take part in that session.

By attending Pole & Aerial Fit classes - courses - tasters - workshop you are agreeing to participate knowing - Warning! While we make every effort to ensure the safety of individuals training here at Pole & Aerial Fit…. Any activity involving motion or height may result in serious injury, paralysis or even death.

It is IMPORTANT that each student listens and follows instructors instructions, report accidents, reports apparatus concerns and spot fellow students at ALL times.

And in attending the classes - courses - workshops you agree that yourself, family members or legal representatives will not attempt to sue/claim against Pole & Aerial Fit or Pole & Aerial Fit Instructors for personal injury/death whether caused by negligence or not.

CLASSES
For classes at Pole & Aerial Fit, payment is required in advance to secure your booking.
Use the online booking system to secure spaces on chosen classes.
There is a 24-hour cancellation period which must be executed on the online booking system or no refund is given While every effort is made to ensure that your class commences, Pole Fit reserves the right to cancel or postpone a class.

PRIVATE TUITION
Notice will be required to cancel your place on a private class, depending on the instructor notice is 24-48hrs. If the required 24-48 hours notice is given, you will not be charged for the cancellation. If less than 24-48 hours notice is given - this will be deemed a 'late cancellation' and you will be charged for the class.

PARTIES
Party deposits are half the full amount, with the remaining full amount payable no later than a week before the party.
Parties deposits must be received in advance of the chosen date and are non refundable. All particpants are require to sign consent forms.

MEMBERSHIPS
Each membership has a 30 day cancellation notice period. Bundles have an expiry date of three months - six months - on eyera depending on which is purchased.

HIRE and WORKSHOPS
Hire and workshops must be booked and confimed by email. Confimation is only after full payment is taken. The fee is non refundable. All particpants are require to sign consent forms.

PRIVACY POLICY

Introduction
Pole Fit LIMITED (Aerial Fit and Aerial Fit Kids) acknowledges the duty of care to safeguard and promote the welfare of children and is committed to ensuring safeguarding practice reflects statutory responsibilities, government guidance and complies with best practice.


The policy recognises that the welfare and interests of children are paramount in all circumstances. It aims to ensure that regardless of age, ability or disability, gender reassignment, race, religion or belief, sex or sexual orientation, socio-economic background, all children:
• have a positive and enjoyable experience of Physical activity at Pole Fit or Aerial Fit in a safe and child centred environment.
• are protected from abuse whilst participating in Pole or aerial classes or outside of the activity.
Pole and Aerial Fit acknowledges that some children, including disabled children and young people or those from ethnic minority communities, can be particularly vulnerable to abuse and we accept the responsibility to take reasonable and appropriate steps to ensure their welfare.
As part of our safeguarding policy Pole and Aerial Fit will:
• promote and prioritise the safety and wellbeing of children and young people.
• ensure everyone understands their roles and responsibilities in respect of safeguarding and is provided with appropriate learning opportunities to recognise, identify and respond to signs of abuse, neglect and other safeguarding concerns relating to children and young people.
• ensure appropriate action is taken in the event of incidents/concerns of abuse and support provided to the individual/s who raise or disclose the concern.
• ensure that confidential, detailed and accurate records of all safeguarding concerns are maintained and securely stored.
• prevent the employment/deployment of unsuitable individuals.
• ensure robust safeguarding arrangements and procedures are in operation.

The policy and procedures will be widely promoted and are mandatory for everyone involved at Pole and Aerial Fit. Failure to comply with the policy and procedures will be addressed without delay and may ultimately result in dismissal/exclusion from the organisation.
Monitoring
The policy will be reviewed a year after development and then every three years, or in the following circumstances:
• changes in legislation and/or government guidance.
• as required by the Local Safeguarding Children Board.
• as a result of any other significant change or event.

What does giving Consent mean?
• Consent means that the individual (You) have given clear consent for us the business to process your personal data for a specific purpose.

How did you get this data?
• ‘Explicit Consent’: You freely and knowingly provided your personal data when you booked a class / course / session or service from the organisations listed above therefore you have given ‘Explicit Consent’ for us to hold your data for purposes of providing said service.
• ‘Informed Consent’: In addition when booking a class / course / session or service from the organisations listed above you will have been asked to give ‘Informed Consent’ for us to process your data for purposes of marketing.
• You can at any point ‘Opt Out’ of receiving our marketing emails. After unsubscribing we will discontinue sending the particular messages as soon as technically feasible. What is the purpose of processing my Data?
• We will only use your data for the purpose for which it was collected.
• Broadly speaking, we use personal information for purposes of administering our business activities, providing the products and services you requested, to process your payment, to monitor the use of the service, our marketing and promotional efforts and improve our content and service offerings, and customize our site’s content, layout, services and for other lawful purposes. How long do you keep my information? / When does the ‘Right to be Forgotten’ apply?
• The ‘Right to be Forgotten’ applies when the personal data is no longer necessary for the purpose, which we originally collected or processed it for.
• However please note it is a condition of our Insurance Policy and generally accepted UK wide to take and retain client records. These records shall be kept for at least 7 years following the last occasion on which treatment / session was given. In the case of treatment / session involving minors, it is advisable that records should be kept or at least 7 years after they reach the age of majority (18). After which your information will be securely erased as requested.

How do you store my information?
• Your personal information is kept (if on paper) via a locked fireproof cabinet.
• If your personal information is kept online it will be securely via those listed below.

What about legally compelled ‘Disclosure of Information’?
• We may disclose information when legally compelled to do so, in other words, when we, in good faith, believe that the law requires it or for the protection of our legal rights. We may also disclose account information when we have reason to believe that disclosing this information is necessary to identify, contact or bring legal action against someone who may be violating our Terms of Service or to protect the safety of our users and the Public.
Can I see what information is held about me?
• Individuals have the right to access their personal data and supplementary information known as a ‘Subject Access Request’.
• The fee of £30 per request is based on the administrative cost of providing the information.
• Information will be provided without delay and at the latest within one month of receipt.
• However please note you do have access to all of the information we hold, which you have provided via your booking account, the above administrative fee would apply if you wish to have physical copies of such information.
Sharing & Selling Information:
• We do not share, sell, lend or lease any of the information that uniquely identify a client (Such as email addresses or personal details) with anyone except to the extent it is necessary to process transactions or provide services that you have requested.
Can I have my information updated?
• Most certainly yes, we request that your information is as up to date as possible in order for us to provide the best services possible.
• You have the right to have inaccurate personal data rectified, or completed if it is incomplete.
• You can make a request for rectification in writing.
• We have one calendar month to respond to a request from date of receipt, although for reasons stated above we will endeavour to meet such request as soon as physically possible.

Do you review the GDPR and Privacy Information?
• We may change this Privacy Policy from time to time. If / when changes are made to this privacy policy; we will email users who have given us permission to do so.
• We will post any changes here, so be sure to check back periodically.

Attempted Level 1 Hoop and Silks for the first time with my twin sister, we had the best time! There was so much packed into the alloted time and yet we still had the time to progress through the class with creating little choeographies. The instructor Kirsty was just a delight, very friendly, talented and just a lovely person making you feel like you attempt anything! Thank you Kirsty for helping us and making sure we had the best out of the class we also came away feeling like we had done an ab workout after laughing so much - such a lovely group of people!

My daughter absolutely loves it here and I can see each week she is growing with confidence! The girls here are wonderful with her, and make her feel at ease. Just looking around I can see they treat all the kids here like there own kids and that's what I love about this place, it has a very friendly feel to it! My daughter asks each day if she can go and to me that is a brilliant sign! The packages they offer are fab and great value for money and the fact you can book on to any session for their age range during the week is great, it's very flexible around our work and family life :) xx

My daughter had her first class yesterday. She was made to feel welcome straightaway. Lily (teacher) introduced herself as soon as we arrived, was very friendly and approachable which helped my daughter relax and she loved the whole class and can’t wait for next time. Highly recommended.

Attended aerial yoga today after seeing older women on tv doing it. I am 67 and was a bit concerned if it would suit me as I have a few health concerns but none listed as I would be unsuitable. Rebecca helped me through it and supported me with any difficulties I had and other attendees were supportive too. I am unfit but I did find it easier than normal yoga which I hadn’t done for donkeys years. Couldn’t believe it when I managed to hang upside down how great it felt to relieve the stress on my back and relaxing in the end was lovely. There were of course a couple of exercises which stretched me a bit but said I had had enough and stopped which is ok as they don’t want you to go too far if you are uncomfortable. My friends and family couldn’t believe i did it. I can’t recommend it enough, give it a go.
